Note on Workday Errors
  • If a yellow flag appears at the top right, this is simply an FYI that you are denying or partially accepting a loan. You can continue with the selections without error. 
  • If a red flag appears at the top right, an error must be corrected before you can submit. Click on the flag to see the reason for the error. You may encounter this error if you accept a federally subsidized loan but deny a federally unsubsidized loan.  
Payment plans for non-enrolled students

If you're no longer enrolled but still have a balance, an extended payment plan may be available to you.

Requirements for extended payment plans:

  • Plans may not exceed 12 months
  • Full balance must be paid within that timeframe
  • Minimum monthly payment is $100

To get started, email the Accounting Office confirming you agree to the terms. A Student Billing Specialist will set up your plan once that confirmation is received.

Returned payment fee

A $20 fee will be added to your account for any returned payment — including returned checks and electronic payments (ACH/EFT) — due to insufficient funds.

Basic Navigation - Workday
  • Vertical Menu Navigation: Select the app icons always visible on the left side of the Workday portal to access commonly used apps. The Academics app and the Financials Hub appear when you hover over the Student tile.  
  • Home Page Shortcut: Use the "FORT LEWIS COLLEGE" icon at the top left to return to the Workday home page anytime.
  • Notifications: The "bell" icon at the top right displays your Notifications. A number on the bell shows unread items. Click to view your notifications.
  • Action Items: The "mailbox" icon next to the bell represents My Tasks for important action-required messages. A number indicates pending actions.
  • Personal Profile: At the far top right, your "photo" icon leads to Profile. You can view and update your personal details, academic records, and more here.
  • Home Page Shortcut: Use the "FORT LEWIS COLLEGE" icon at the top left to return to the Workday home page anytime.
  • Search Bar Note: Currently, the search bar's functionality for students is limited, so you can skip using this feature for now.

How do I help students drop a class during registration?

Students can drop their classes easily and instantly from their Academics app during open registration periods.

  1. Direct the student to their Academics app, accessed from the vertical menu in the portal, by hovering over the Student tile and selecting Academics.
  2. From the Academics app, have the student navigate to "View My Courses," located under the Academic Records heading on the task list on the right side of the page.
  3. When the student is in View My Courses, they will see an Actions column and button next to the course section name. Select Actions to see Drop and Swap options (when applicable).
  4. The student can then select the Drop button for the course section they wish to drop. Course sections with multiple available meeting times will also have a Swap option to choose a different meeting time for the same course section.
  5. The student must confirm the drop on the prompted page, select Ok, then Done at the bottom. 
    Note: The Action button will not be visible outside open registration windows.

Once this change is complete, the student can see any dropped classes in a separate list below the current classes table. The student's current courses can also be viewed from their Profile, under the Academics section, and from the "Current Classes" tab at the top of the section.

How to submit a grade change outside of grading deadline

Faculty will be notified of the window and deadline to enter final grades for their instructed courses of the current term in Workday. (See Deadlines for Final and Mid-Term grade submissions above).

Submit a Grade Change request form online with your CAS login when you have passed the deadline to enter grades for a particular semester term. Paper Grade Change forms are available at Skyhawk Station, or you can complete the Grade Change request form. 

View Course Section Roster Report

You can view your course roster from a different report that displays the capacities set for the course section and more information about the students registered.

  1. Log in to Workday and navigate to the Teaching app from the vertical menu on the left side of the portal. Hover over the Teaching and Advising tile, then select Teaching.
  2. Activate the Course Section field and select My Assigned Course Sections.
  3. Activate the blank Published Course Section field and choose the correct term/semester.
  4. Select the Course Section you wish to view. Click Ok.
  5. The Course Section Roster will appear at the bottom of the page.
  6. A column next to each student displays the student’s Program of Study on the right-hand side.
Viewing Financial Aid Items in Profile - Workday
  • Navigate to your Profile by selecting the photo icon at the top of the Workday portal.
  • Select “View Profile”
  • Select the “Action Items and Holds” section in the blue column on the left
  • The tabs across the top of this section allow you to view Action Items, Active Holds, and Resolved Holds 

The Action Items tab organizes action items by Financial Aid, Admission, and Onboarding types. This section will show all action items with details regarding the action required and the resolution.  

Course Program of Study (CPOS)

The U.S. Department of Education (ED) requires students to be enrolled in a degree-seeking program for federal financial aid. Aid will only cover courses that are part of your official course program of study (CPOS), including Pell grants, FSEOG grants, Iraq and Afghanistan Service Awards, Direct Subsidized/Unsubsidized Loans, and PLUS Loans.

Enrolling in courses not required for your degree may reduce or cancel your financial aid, affecting your full-time enrollment status.

Repaying loans

Students and parents can find comprehensive information about undergraduate student loan repayment options on the .

There is also a repayment estimator you can use if you are:

  • Curious about what your payment might be based on what you have borrowed so far;
  • Beginning repayment of your federal student loans for the first time; or
  • Exploring repayment options based on your income.
  • We also recommend contacting your loan servicer to explore the best repayment option.
Diplomas for recent graduates

Diplomas are sent out approximately 6-8 weeks after the term ends.

Fort Lewis College diplomas list degrees and majors only and Latin honors if eligible. If a student earns a certificate, that will be listed on a separate diploma. Diplomas do not include minors or concentrations, but this information can be found on a student’s transcript.

Students will only receive a diploma if they meet all degree or certificate requirements by the end of the term. Walking at graduation does not mean a student will be issued a diploma.

Students who graduate in Spring 2023 or later will automatically receive digital and paper diplomas from Parchment Award Services. Digital diplomas can be accessed after the student receives the initial email from Parchment and creates an account. Paper diplomas will be mailed approximately 72 hours after that, so students have time to update their diploma mailing address if needed.

Optional Disenrollment Policy

Instructors have the option, but not the obligation, to drop a student from a class if the student has missed at least one scheduled class during the first four days of the term. For courses that meet online, instructors must include the form of student participation in their syllabi that will be counted instead of physical attendance. If you want to drop a student based on this policy, please follow the instructions below by 4:00 pm on the first Thursday of classes.

  1. Access the Faculty Slate Dashboard
  2. Select "My Class Rosters"
  3. Locate the student on the roster and select "Drop from Class." This will prompt a new window to complete the request.
  4. Once received, the student will be removed from the course, and the student and instructor will be emailed that the withdrawal has occurred.

Public health emergency instruction policy

As Fort Lewis College plans for instruction in the coming academic year, students are advised that in response to a further public health emergency or potential public health emergency such as COVID-19, some or all instruction for all or part of any particular academic year may be delivered remotely.

Any necessary adjustments to instruction will be made congruent with public health considerations. Tuition and fees have been set regardless of the method of instruction and will not be refunded if instruction occurs remotely for any part of the year.

Get your unofficial transcript

Unofficial transcripts are only available in Workday to current Fort Lewis College students with active login credentials.

  1. Navigate to the Academics app, from either the Workday home page Your Top Apps box, or from the MENU at the top left of the Workday portal.
  2. Find the Transcripts header on the right column tasks list.
  3. Select Generate Unofficial Transcript.
  4. Check the Confirm box.
  5. You will receive a notification that says, “Your Request is being processed”. Click Notify me Later. This notification indicate the document is being prepared and will be ready in a few seconds in your Notifications.
  6. Navigate to the Bell icon at top right of portal to get to Notifications

Unofficial transcripts cannot be provided via email. Former students seeking unofficial transcripts may only request to pick-up at Skyhawk Station by emailing skyhawkstation@fortlewis.edu. Electronic delivery is not available.

Alternative loans

Private loans have no government subsidy. These college loans require a more stringent qualification of creditworthiness and may have higher interest rates than federal student loans.

The Financial Aid Office advises all students to use the Direct loan programs first.

Explore the Teaching App

The Teaching App will be the primary location for instructor reports and tasks in Workday.

  1. Log in to Workday and navigate to the Teaching app from the vertical menu on the left side of the portal. Hover over the Teaching and Advising tile, then select Teaching
  2. From the app dashboard, you will see reports to View the Teaching Schedule and the Course Section Roster.
    You can also complete the tasks Verify Participation for My Course Section and assign grades.
